Your full name, your email address, your phone number (including WhatsApp number), your postal or residential address, your driver’s licence number and issuing country, your passport or national ID number (for verification purposes), your flight number and arrival time (if you request airport pickup), your travel itinerary within Zimbabwe (including destinations and accommodation details), and payment information (card details are processed by our payment partners; we do not store full card numbers).

We may also collect non‑personal data such as your browser type, IP address, and the pages you visit on our website through cookies. This helps us improve our website and understand how customers find us.

How We Collect Your Data

We collect your data directly from you when you fill out our booking form, send us an email, call or message us on WhatsApp, or provide documents at vehicle pickup. We also collect data automatically through our website’s analytics tools when you browse our pages.

Why We Collect Your Data and How We Use It

We use your personal data to process your booking and confirm your vehicle reservation, to verify your identity and driver’s licence before handing over a vehicle, to arrange free airport pickup or free delivery to your address, to communicate with you about your booking (including changes, confirmations, and payment receipts), to comply with legal requirements for car rental companies in Zimbabwe (including maintaining records of who rented which vehicle), to improve our services and respond to customer inquiries, and to send you occasional marketing communications only if you have given us your explicit consent to do so. You may opt out of marketing messages at any time.

Legal Basis for Processing

Under Zimbabwean law, we process your personal data because it is necessary to perform the rental contract we have with you (for example, to reserve a vehicle and hand it over to you). We also process data to comply with legal obligations (such as keeping rental records for a period required by law). For marketing communications, we rely on your consent.

Sharing Your Data with Third Parties

We do not sell your personal data to anyone. We may share your data with the following categories of third parties only when necessary: our payment processing partners (who handle card transactions but do not store your data longer than necessary), law enforcement or regulatory authorities if required by Zimbabwean law (for example, in the case of a traffic violation or accident investigation), and our roadside assistance provider (who may need your location and vehicle details to dispatch a mechanic). All third parties with whom we share data are contractually bound to use it only for the specific purpose and to delete it afterward.

Data Storage and Security

We store your personal data on secure servers accessible only by authorised iNdlovu Car Rental and Safari staff. Physical documents (such as copies of your driver’s licence) are stored in locked cabinets at our office in Bulawayo. We retain your data for as long as necessary to fulfil the purposes for which it was collected, including any legal or accounting requirements. For rental records, we typically retain data for three years after the end of your rental period. After that, we securely delete or anonymise your information.

We take reasonable steps to protect your data from unauthorised access, loss, or theft. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Your Rights

You have the following rights regarding your personal data that we hold: the right to request a copy of the data we hold about you (subject to verification of your identity), the right to correct any inaccurate or incomplete data, the right to request deletion of your data where there is no legal requirement for us to keep it, the right to withdraw your consent for marketing communications at any time, and the right to lodge a complaint with the Zimbabwean data protection authority if you believe we have mishandled your data.
